Members and invitations
Invite people by email or with an invite link, use approval-gated links and join requests, assign roles in bulk, remove members and change usernames.
Updated:
The Members page lists everyone on your team. From here you invite new people, accept those who came through an approval-gated link, edit roles and manage memberships.
Where to find it
In the left menu, under Management, open Members. The number next to it is the count of join requests waiting for approval (counted only for people who can approve).
Three buttons sit at the top right of the page: View Invitations, Invitation Link and Invite by Email.

Inviting by email
- Click Invite by Email.
- Type one or more addresses in Email Address. You can separate them with commas, semicolons or new lines; up to 50 addresses are sent at once.
- Pick a Role. If you like, add more under Additional Roles (optional).
- Click Send Invitation. Each address gets its own result; invalid or undeliverable addresses are named in the message.

An email invitation is valid for 7 days. If you invite an address that already has a pending invitation, that invitation is updated and its validity starts again at 7 days. For what the invited person sees, see Joining a team by invitation.
Invite link
Creates a shareable link that needs no email (for example, to paste into Discord).
- Click Invitation Link; the Create Invite Link dialog opens.
- Pick a Role, or tick Public invitation — the joining member picks their role. With a public invitation the person picks their own role from the basic task badges; admin and staff roles cannot be picked.
- Validity Period: 1 Day, 7 Days (default), 30 Days or Unlimited.
- Single use is ticked by default. If you untick it, Maximum Uses (optional) appears (1–100; leave it empty for no limit).
- Tick Require my approval to join if people using the link must be approved by you first.
- Note (optional) reminds you who the link is for; it also shows on join requests.
- Click Create Link and take the link with Copy.

Join requests (approval-gated links)
People arriving through an approval-gated link do not join directly. They wait in the Join Requests card at the top of the Members page; until you approve them they do not appear on the team and cannot reach any content.
- Approve adds the person to the team. When several people are waiting on the same link, an Approve … pending from this link button appears for that link.
- Decline opens a dialog where you can add a Reason (optional).
- Each row shows which link the person came through and … requests from the same source: this is how you notice a link that has spread.
- Requests you declined in the last 30 days stay under Recently declined; Reopen brings a request back.
Two rules to know:
- A use is counted on approval, not on request. A leaked link cannot fill up with strangers' requests and lock out real members.
- Once created, a request no longer depends on the link. You can approve a pending request even after the link has expired.
If a link gets out of hand, go to View Invitations → the link's row menu → Close link, decline requests. This closes the link and declines every request waiting on it.
Invitations page
View Invitations lists every invitation: email or link, role, status (Pending, Accepted, Declined, Expired), creation date and note. Approval-gated links show an Approval badge and the number of waiting requests. The row menu offers:
- Copy Link (valid link invitations),
- Resend (valid email invitations; validity starts again at 7 days),
- Cancel (pending invitations).
Editing roles
- Open Edit Roles from the ⋮ menu on the member's row.
- Under Current Roles, remove a role with the cross next to it; under Add Role, pick a role and click Add.

The same menu also has Change username, Send message (when private messages are on), Send email, Copy email and Remove from Team.
Bulk roles
- Tick Select all at the top of the list, or the boxes next to members.
- Pick the role in the Pick a role field that appears.
- Click Assign role or Remove role.

If it cannot be applied to some people (they already have the role, they would lose their last role…), they are named in the result message and your selection is kept. It works together with the filters: narrow the list with Filter by role first, then select all.
Removing a member
⋮ → Remove from Team → Remove in the confirmation dialog. The team owner cannot be removed. The removed person is notified.
Changing a username
⋮ → Change username. The New username cannot contain spaces and must be unique. The username is a shared identity across teams: @mentions and the sign-in name change too, and if the person is on other teams the name changes there as well. The old name stays reserved for that person for 30 days. The person is notified of the change.
Only the owner can rename the team owner, and only a platform admin can rename a platform admin.
Who can do this
- Invite and approve join requests: the team owner, Fansub Yöneticisi (admin) and roles with Invite Members (
fansub.invite). The Members menu link also depends on this permission. - Remove members: the team owner, Fansub Yöneticisi and roles with Remove Members (
fansub.remove_member). - Edit roles, change usernames, open the Invitations page, see email and last sign-in: the team owner, Fansub Yöneticisi and Fansub Görevlisi (staff).
- Only the owner and admins can give or take the Fansub Yöneticisi and Fansub Görevlisi roles; only the owner can add one of these roles to themselves.
For all permissions, see Roles and permissions.
Good to know
- When your plan's member limit is reached, invitations are not sent and approvals fail; see Plans and subscription.
- A member's last role cannot be removed.
- Search also matches email addresses, but only for managers. Use the Email status filter to find members who have not verified their address; an unverified address is marked Unverified.
- A Rookie · … days left badge on a row means the member is in their rookie period. Being a rookie does not change permissions. The owner, admins and staff can choose End rookie period or Make a rookie again from the ⋮ menu; the length of the period is in Fansub Settings.
